Introduction

Decantech (“we”, “us”, or “our”) operates the Voxminder mobile application (the “App”). This Privacy Policy explains how we collect, use, and protect your information when you use our App.

By using Voxminder, you agree to the collection and use of information as described in this policy. If you do not agree with this policy, please do not use the App.

Information We Collect

Voxminder is designed with privacy as a core principle. We do not require you to create an account or provide any personal information to use the App.

Audio Recordings

When you use the voice input feature, the App records audio locally on your device (up to 30 seconds per recording). This audio is temporarily sent to our backend server, where it is processed using OpenAI’s transcription service to convert your speech into text and extract reminder details (title, date, time, recurrence). The audio is deleted from our server immediately after transcription is complete. We do not store, retain, or listen to your audio recordings.

Reminder Data

Your reminders — including titles, dates, times, recurrence patterns, and nudge preferences — are stored locally on your device using an on-device SQLite database. This data never leaves your device and is not synced to any cloud service or external server.

Subscription Information

If you purchase a subscription, payment and subscription management is handled by RevenueCat and the respective app store (Apple App Store or Google Play Store). We do not directly collect or store your payment information, credit card details, or billing address. RevenueCat may associate a random anonymous user identifier with your subscription status.

Notifications

The App uses locally scheduled push notifications to deliver your reminders. These notifications are scheduled entirely on your device and do not involve any external notification service or server. If you enable the nudge feature, additional follow-up notifications are scheduled locally until you mark the reminder as complete.

Device Permissions

The App requests the following permissions:

• Microphone: Required to record voice input for creating reminders. Audio is only recorded when you actively press the record button.
• Notifications: Required to deliver reminder notifications at the scheduled time.

You can revoke these permissions at any time through your device's settings. Revoking microphone access will disable voice input (manual entry remains available). Revoking notification access will prevent reminder delivery.

How We Use Your Information

• Audio transcription: Your voice recordings are sent to our server solely to transcribe them into reminder text using AI. The audio is deleted immediately after processing.
• Reminder delivery: Your reminder data is used locally on your device to schedule and display notifications at the correct time.
• Subscription management: Anonymous subscription status is used to determine whether to unlock premium features within the App.

We do not use your data for advertising, profiling, marketing, or any purpose other than providing the App's core functionality as described above.

Third-Party Services

The App uses the following third-party services that may process limited data:

• OpenAI:Audio recordings are sent to our backend server, which forwards them to OpenAI’s API for speech-to-text transcription and natural language understanding. OpenAI’s use of this data is governed by their Privacy Policy. Audio is deleted from our server immediately after transcription.
• RevenueCat: Manages subscription status using an anonymous identifier. RevenueCat does not receive any personal information from us. Their use of data is governed by their Privacy Policy.
• Apple App Store / Google Play Store: Handles payment processing for subscriptions. Their respective privacy policies apply to any payment information you provide.

We do not use any analytics, advertising, or tracking SDKs. We do not sell, share, or transfer your data to any other third parties.

Data Retention

• Audio recordings: Deleted from our server immediately after transcription. Never stored long-term.
• Reminder data: Stored locally on your device only. Deleted when you remove a reminder or uninstall the App.
• Subscription data: Managed by RevenueCat and the app stores according to their respective retention policies.

Data Security

We take reasonable measures to protect data transmitted to our server. Audio is sent over encrypted connections (HTTPS/TLS) and is deleted immediately after processing. Since reminder data is stored locally on your device, its security depends on your device's own security settings (passcode, biometric lock, etc.).

International Data Transfers

When you use voice input, your audio recording is temporarily sent to our server and then to OpenAI's API for processing. These servers may be located outside your country of residence. By using the voice input feature, you consent to this transfer. The audio is deleted immediately after processing and is not stored in any jurisdiction.

Your Rights

Because Voxminder does not collect or store personal data on our servers (aside from transient audio processing), most traditional data rights (access, deletion, portability) are automatically satisfied. Your reminder data is fully under your control on your device. You can delete any reminder at any time, and uninstalling the App removes all locally stored data.

If you believe we hold any data about you or have questions about your rights under applicable data protection laws (including GDPR), please contact us and we will respond promptly.

Children’s Privacy

Voxminder is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can take appropriate action.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated “Effective date.” We encourage you to review this policy periodically. Continued use of the App after changes are posted constitutes your acceptance of the revised policy.
